This Privacy Policy Statement explains how Rametech Limited (“Rametech”, “we”, “us”) collects, uses, holds, transfers and protects personal data when you visit rametechltd.com (the “Site”), send us a request for quotation, use the Rametech AI chat assistant or otherwise contact us. It also explains your rights and how to exercise them.
We handle personal data in accordance with the Personal Data (Privacy) Ordinance (Cap. 486) of Hong Kong (the “PDPO”) and its six Data Protection Principles. Where the EU General Data Protection Regulation (the “GDPR”) applies to our processing, the section “If you are in the EU or EEA (GDPR)” also applies.
1. Who we are
The data user responsible for your personal data (the “controller” in GDPR terms) is:
- Data user (controller)
- Rametech Limited
Incorporated in Hong Kong SAR - Company Registration No.
- 76582189
- Address
- 700 Nathan Road, Kowloon, Hong Kong
- info@rametechltd.com
Our services are intended for businesses. Most of the personal data we handle is business contact information of people who act on behalf of their companies.
2. Personal data we collect
We collect personal data by lawful and fair means, mainly directly from you, and only to the extent needed for the purposes described in this statement.
| Source | Personal data |
|---|---|
| Request for quotation, contact and company-documents request forms | Name, e-mail address, company, company country, phone number or messenger handle (optional); the items you request (part numbers, manufacturers, condition, quantities, configuration notes); delivery country, preferred Incoterms, end use or industry, notes; your confirmation that you have read our Personal Information Collection Statement, with its date and time. |
| Uploaded files | Lists, bills of materials, specifications or nameplate photos that you attach, and any personal data they contain. |
| Rametech AI chat | Your messages and attached files, the request summary you confirm, the contact details you give after agreeing to our Personal Information Collection Statement, and a random chat session identifier. |
| E-mail, phone and messengers | Your contact details and the content of our correspondence. |
| Technical data | IP address, browser type and version, pages requested, date and time of access and the referring page. In our request records we keep the IP address only as a one-way hash. |
Please do not send us sensitive personal data, such as identity document numbers or health information, or personal data of other people beyond the business contact details needed for your request.
We may also receive personal data from colleagues who forward a request on your behalf, from logistics and payment providers when an order proceeds, and from public sources, such as sanctions lists and company registers, that we use for compliance screening.
3. How we use personal data
We use personal data for the following purposes and for directly related purposes:
- to answer your request, identify the products you ask about, and prepare, send and follow up a quotation;
- to screen requests for compliance with export-control and sanctions laws, including checks of end use, end user and destination;
- to perform orders and arrange delivery, payment, warranty and returns, if an order proceeds;
- to keep business records, meet our legal, regulatory, tax and accounting obligations and respond to lawful requests from authorities;
- to protect the Site and our systems against spam, fraud and abuse and to keep them secure;
- to send you marketing communications, but only if you have given separate consent (see “Direct marketing”).
We will not use your personal data for a new purpose without your prescribed consent, that is, your express and voluntary consent, unless the PDPO permits it (Data Protection Principle 3).
Fields marked * in our forms are required. If you do not provide them, we cannot process your request or prepare a quotation. All other fields are optional. On or before collecting your personal data, we give you our Personal Information Collection Statement.
4. Rametech AI chat assistant
Rametech AI is an automated assistant. It helps identify part numbers, models and configurations and turns them into a structured request. To do so, your messages and the content of files you attach are sent to an external AI model provider that generates the replies.
- Before the assistant asks for your contact details, it shows our Personal Information Collection Statement and asks for your consent. If you decline, we do not store your contact details; you can write to us at info@rametechltd.com instead.
- The assistant does not make decisions that have legal or similarly significant effects on you. A member of our staff checks every line of a request before a quotation is issued.
- Please do not share sensitive personal data or confidential information in the chat beyond what your request needs.
A chat conversation that leads to a request is kept as part of that request.
5. Who we share personal data with
We disclose personal data only to the following classes of recipients, and only to the extent needed for the purposes above:
- our staff who handle requests, orders, compliance and accounts;
- service providers that process data on our behalf: the hosting provider of the Site and of our request database, e-mail service providers, a business messaging service that notifies our sales team of new requests, the AI model provider used by Rametech AI, and IT contractors that develop, maintain and support the Site;
- when an order proceeds: logistics companies, freight forwarders, customs brokers, insurers, banks and payment providers;
- suppliers, manufacturers or distributors, where they need end-use or end-user information to supply a product or for export licensing or warranty purposes;
- our professional advisers, such as lawyers and auditors;
- government, regulatory, customs and law-enforcement authorities and courts, where required or permitted by law.
We do not sell personal data and do not provide it to others for their own direct marketing.
6. Transfers outside Hong Kong
Some of our service providers store or process personal data outside Hong Kong. In particular, messages to Rametech AI may be processed outside Hong Kong by the AI model provider, and e-mail, hosting and notification services may use servers in other jurisdictions. When an order involves international delivery, the data needed for shipping and customs clearance goes to recipients in the countries concerned.
We limit what we share with service providers outside Hong Kong to what is needed for the purposes above.
7. Accuracy and retention
We take all practicable steps to ensure that the personal data we hold is accurate. Please tell us if your details change. If we find that personal data we hold is inaccurate, we correct or erase it.
We keep personal data only as long as necessary for the purposes for which it was collected, including to meet legal, accounting and reporting requirements, and then delete or anonymise it (Data Protection Principle 2(2) and section 26 of the PDPO).
We may keep personal data longer where the law requires it or where it is needed to establish, exercise or defend legal claims. Hong Kong law requires business records, including records of sales, to be kept for at least seven years after the transactions are completed (section 51C of the Inland Revenue Ordinance (Cap. 112)).
8. Security
We take all practicable steps to protect personal data against unauthorised or accidental access, processing, erasure, loss or use (Data Protection Principle 4). Our measures include:
- encrypted connections (HTTPS) to the Site;
- storage of request records and uploaded files outside the public part of the web server, with access limited to authorised staff and to service providers who need it;
- checks of the type and size of uploaded files, spam protection and limits on the number of submissions;
- storage of IP addresses in request records only as a one-way hash.
No transmission over the internet is completely secure. If you believe that your personal data has been compromised, please contact us without delay.
9. Direct marketing
We use your personal data for direct marketing only if you have given separate consent, for example by ticking the optional box in our request form, which is never pre-ticked. Your consent is never a condition of a request or a quotation (Part 6A of the PDPO).
- Personal data we use: your name, e-mail address and company.
- Classes of marketing subjects: news and offers about IT and data-center hardware and industrial automation, instrumentation and test equipment that we supply.
You may withdraw your consent at any time, free of charge, by using the unsubscribe link in any of our messages or by writing to info@rametechltd.com. We do not provide personal data to others for their direct marketing.
10. Access, correction and other requests
Under the PDPO you have the right to:
- ask whether we hold personal data about you and request a copy of it (a data access request);
- request the correction of personal data about you that is inaccurate (a data correction request);
- ask about our policies and practices in relation to personal data and the kinds of personal data we hold (Data Protection Principle 5);
- tell us at any time to stop using your personal data for direct marketing.
How to make a request. Send your request by e-mail to info@rametechltd.com or by post to the address in the section “Who we are”, marked “Personal data request”. A data access request should be made on the Data Access Request Form specified by the Privacy Commissioner for Personal Data, which is available on the PCPD website; under section 20(3)(e) of the PDPO we may refuse a data access request that is not made in that form. We may ask you to verify your identity before we respond.
We will respond to a data access or data correction request within 40 days of receiving it, as the PDPO requires. If we refuse a request, we will tell you the reasons, as the PDPO allows.
Fees. We may charge a fee for complying with a data access request. The fee will not be excessive, and we will tell you the amount before we process your request (section 28 of the PDPO). We do not charge for correcting personal data.
If you are not satisfied with our response, you may complain to the Privacy Commissioner for Personal Data, Hong Kong.
11. If you are in the EU or EEA (GDPR)
Where the GDPR applies to our processing of your personal data, for example because we offer our products to customers in the European Union or the European Economic Area, the following also applies. We are the controller of that personal data.
Legal bases
| Purpose | Legal basis |
|---|---|
| Answering your request and preparing a quotation | Steps taken at your request before entering into a contract (Art. 6(1)(b)); where you act for a company, our legitimate interest in dealing with business customers (Art. 6(1)(f)). |
| Performing an order | Performance of a contract (Art. 6(1)(b)), or our legitimate interests where the contract is with your company (Art. 6(1)(f)). |
| Export-control and sanctions screening | Compliance with a legal obligation (Art. 6(1)(c)) where EU or Member State law requires it; otherwise our legitimate interest in complying with the export-control and sanctions laws that apply to us (Art. 6(1)(f)). |
| Business records, tax and accounting | Compliance with a legal obligation (Art. 6(1)(c)) and our legitimate interests (Art. 6(1)(f)). |
| Security of the Site, spam and fraud prevention | Our legitimate interests (Art. 6(1)(f)). |
| Direct marketing; analytics cookies, if used | Your consent (Art. 6(1)(a)), which you may withdraw at any time. |
Where we rely on legitimate interests, we have weighed them against your interests and rights; you may ask us for more information about this assessment.
Your rights
Subject to the conditions set out in the GDPR, you have the right to access your personal data, to have it rectified or erased, to restrict or object to its processing (including, at any time, processing for direct marketing), to data portability, and to withdraw your consent at any time without affecting the lawfulness of processing before the withdrawal. We do not make decisions based solely on automated processing that produce legal or similarly significant effects for you.
We respond to requests within one month. For complex requests this period may be extended by two further months, in which case we will tell you. Requests are generally free of charge.
International transfers
Your personal data is processed in Hong Kong and in the other countries where our service providers operate. Hong Kong is not covered by an adequacy decision of the European Commission. Where the GDPR applies to such transfers, we rely on a derogation under Article 49 GDPR, for example where the transfer is necessary for steps taken at your request before entering into a contract.
Complaints
You have the right to lodge a complaint with a data protection supervisory authority, in particular in the EU or EEA country where you live or work or where an alleged infringement took place. We would appreciate the chance to address your concerns first, so please contact us at info@rametechltd.com.
Individuals in the United Kingdom have equivalent rights under the UK GDPR and may complain to the Information Commissioner’s Office.
12. Cookies and browser storage
By default, the Site does not use third-party trackers, advertising cookies or analytics cookies. It uses only strictly necessary storage in your browser, such as a random identifier that keeps your chat conversation together. Details are in our Cookie Notice.
13. Children
The Site and our services are intended for businesses and are not directed at children. We do not knowingly collect personal data from anyone under 18. If you believe that a child has given us personal data, please contact us and we will delete it.
14. Links to other websites
The Site may contain links to third-party websites, such as those of manufacturers or of the PCPD. Their operators are responsible for their own privacy practices; please read their privacy policies.
15. Changes to this statement
We may update this Privacy Policy Statement from time to time, for example when we introduce a new service or service provider. The current version is always available on this page, with the date of the last update at the top. If a change significantly affects how we use your personal data, we will draw attention to it on the Site.
16. Contact us
If you have any questions about this statement or about your personal data, please write to us at info@rametechltd.com or by post to the address in the section “Who we are”.
